Personal Assistant to Group Finance Director

Based – Hatfield

An excellent opportunity has arisen for a Personal Assistant based in Hatfield. The overall objective of this role is to assist the Group Finance Director in the management of an extensive volume of communication, diary management and interface with internal and external functions.

Role Responsibility

  • To provide the Group Finance Director with a high level of administrative support including:
    • Extensive diary management
    • Booking and arranging meetings, including meeting and greeting external attendees, organising catering etc Meeting preparation, producing agendas, producing minutes and following up actions etc
  • Reviewing workload with Director
  • Management and vetting of emails, creating suitable response on behalf of Director where appropriate. Prioritisation of emails
  • Administration of direct reports personnel issues, including holiday, bonuses, pay review submission etc
  • Dealing with and vetting of phone calls, internal and external
  • Monitoring expenditure approvals that come through to Director, finding out additional information if required
  • Completing and submitting Director’s expenses and mileage logs on a timely basis
  • Dealing with the Board, Audit Committee, Directors and Senior level Executives on a regular basis
  • Assisting in the preparation of Board and Audit Committee papers, where meeting deadlines on time is imperative
  • Liaise with our external Brokers and PR company, especially around year end and interim results, trading statement releases etc
  • International travel arrangements for Finance Director and Group Finance
  • Assistance with various administration tasks such as pension administration

The Ideal Candidate

  • Demonstrable PA/EA experience
    Proven administrative experience, attention to detail, accuracy
  • Excellent interpersonal, literacy and numeracy skills
  • Ability to build relationships at all levels
  • Fast and accurate typing speeds and strong English language competency
  • Self-motivated and able to maintain confidentiality
  • Familiarisation with Outlook and SAP with a good working knowledge of Microsoft applications


  • General Finance background, ideally in a listed company
    French and/or German
